Privacy notice (KVKK)
The personal data you share when submitting a reservation request for The Heritage Express is processed by ORB PRODÜKSİYON TURİZM ORGANİZASYON MENAJERLİK DANIŞMANLIK LİMİTED ŞİRKETİ (Meşrutiyet Mah. Konur Sk. Özsoy İş Hanı No: 25 İç Kapı No: 13, Çankaya/Ankara), as data controller, under Turkish Law No. 6698 on the Protection of Personal Data (“KVKK”), as described below.
What data we collect
- The applicant: full name, email address, telephone number.
- Travellers named in the application: full name and Instagram or LinkedIn account.
- Your selections: cabin type, Event Pass and additional services.
- Technical record: time of application. Your IP address is processed for a few minutes only, to prevent misuse, and is not stored.
If you name other people as travellers, you must have informed them of this notice.
Why we process it
- To assess your application. This includes reviewing the social media accounts you provide.
- To contact you about your application, and to send you the event details and pricing when sales open.
- To arrange your reservation and ticket if your application is approved and you complete payment.
- To fulfil our legal obligations.
Legal basis and method of collection
The data is collected electronically through the application form on this website. The legal bases for processing are: its direct connection with the formation of a contract (KVKK Art. 5/2-c), the data controller's legal obligations (Art. 5/2-ç) and our legitimate interest in assessing applications (Art. 5/2-f).
Who we share it with
It is shared with the infrastructure providers we rely on to run this website: hosting, database and email delivery. Once sales open, the payment institution will be added to these. Some of these providers have servers outside Türkiye. Such transfers are made in accordance with KVKK Articles 8 and 9. The data may also be shared with authorities legally entitled to request it. Your data is never passed to third parties for marketing purposes.
How long we keep it
Application data is kept after the event for as long as the purpose of processing requires, and is then deleted or anonymised. Records that the law requires us to keep (for example, sales and invoice records) are retained for the statutory period.
Your rights
Under Article 11 of the KVKK, you have the right to: learn whether your data is processed, request information about it, ask for it to be corrected or deleted, learn the parties to whom it has been transferred, object, and claim compensation should you suffer damage. To exercise these rights, please write to info@orbproduction.com quoting your application reference number. Your request will be concluded within 30 days at the latest.
